Entry Information
WGI requires all those interested in competing at WGI contests to become a member. Membership can be obtained
here.
All Members may login to the director's only website (in the lower left hand navigation on the wgi homapage) once you have received your username and password. To enter contests, simply log in and then select ENTRIES (on the far right along the choices at the top) to begin the process. If your membership has been purchased and processed (processing may take up to 2 days before you get your directors only log in information), you will be able to place your contest registration online by clicking your unit's name.
2008 WGI Sport of the Arts General Information
- This is the official entry form for all nineteen (19) Regionals and the 2008 World Championships. Please have separate entry form for each unit. Paper copy forms are available through the WGI office.
- All deadlines for contest entries will be strictly enforced. THERE WILL BE NO EXCEPTIONS.
- All contests will utilize WGI Rules and Score Sheets as defined in the 2008 WGI Adjudication Manual and Rule Books. WGI Contest Administrators and/or their designee will act as Contest Director for each contest. For more detailed information on rulebooks, contact the WGI office at 937.434.7100.
- No entries will be recorded as being postmarked prior to September 25, 2007. If they are postmarked prior to September 25th, they will be recorded as that date. standard Members may submit by first available date of September 28, 2007. Appearance order in prelims will be determined by postmark date of entry. Earliest postmark date performs last in prelims round of the class entered. The earlier the postmark date, the later the unit performs in the prelim rounds contest of the class entered.
- AN ENTRY FEE MUST ACCOMPANY ENTRIES. Entry fee per unit is $200.00 for each Regional until December 15, 2007. Regional entries postmarked after that date are $250.00 for each Regional. Entry fee per unit for the World Championships is $500.00. World Championship entries postmarked after January 15, 2008 are $600.00. Checks must be made out to WGI and payable in US Funds only. Entry fees may also be paid by Visa, MasterCard and Discover. School purchase orders are also accepted but must include a valid purchase order number and authorizing signature. Entries not accompanied by payment or complete school purchase order will not be accepted and automatically returned to sender and unit will forfeit original postmark date.
- All entry fees are NON-REFUNDABLE AND NON-TRANSFERABLE. If you sign up for a regional and cannot attend, those funds may not be transferred to another regional.
- Any unit who withdraws from a regional after the entry deadline or fails to appear will be assessed a penalty of $200.00 that must be paid prior to next appearance. Units who pull out after March 15, 2008 or fails to appear at World Championships will be assessed a penalty of $500.00. Units withdrawing from any contest must do so in writing to the WGI office prior to the penalty deadline date to avoid penalty. Units must be prepared to show proof of mailing or fax transmission to avoid penalty. No verbal changes to entries will be accepted.
- Each unit must be prepared to show proof of age on each performing member at any WGI contest. Scholastic units must be prepared to show the notarized scholastic form that is provided to you by WGI.
- All members of any percussion ensemble competing in any scholastic class must be approved for participation by the principal of the sponsoring school. Each percussion ensemble shall submit a notarized form prepared by WGI listing all approved participants of that school's percussion ensemble.
- A unit having outstanding balances due WGI will not be allowed to enter any contest until the debt has been satisfied.
- Regionals may close when reaching the maximum number of entries as dictated by the schedule. Units still wishing to enter the contest will be placed on a "wait-list." Once the entry deadline for a contest passes, the wait-list is dissolved and the contest is closed to any further entries. If a unit withdraws after the entry deadline, no wait-listed unit will be added to the schedule.
- Units attending WGI contests will receive passes for all unit members plus seven staff passes for all preliminaries and semi-final contests only. Finals tickets at a reduced rate for non-performing units will be available for purchase separately (unit members plus seven staff). Only units performing in that finals contest will receive passes.
- New for 2008 World Championships PLUS entries. With the PLUS entry you will receive an additional seven staff passes as well as the seven provided for a total of 14 staff passes for an additional fee. This PLUS entry must be purchased at time of entry as it WILL NOT be available at check in to those contests. Please remember that at World Championships you must make finals to receive additional passes. Otherwise you must purchase backside seating as in the past.
Units must provide proof of $1,000,000 general liability coverage and $10,000 accident medical coverage per school or organization to the WGI office no later than January 15, 2008. More information on this requirement is available at www.wgi.org or by calling the WGI office.
Percussion Contest Information
- All WGI Contests where Percussion is offered will have the following classes available:

- Any unit may declare itself in any classification. If any unit is misclassified, units will be placed in the correct class of competition by the WGI Percussion staff. If you are unsure of your unit's classification, please refer to the publication available through WGI.
- Percussion ensembles must attend a WGI Regional Contest if their hometown is within 400 miles of any regional in order to be eligible to enter the WGI World Championships. Units beyond a 400 mile radius of any regional are exempt from this requirement but must submit a video recording of the unit for classification purposes no later than March 1. This requirement will also be waived for any units from outside North America. The Percussion Coordinator will have final approval of any exemption to this policy. No unit entered in the World Championships may put on an exhibition at any regional.
- If a minimum of ten (10) entries at any WGI Regional is not received by the entry deadline, WGI reserves the right to cancel the percussion portion of the regional contest. If there are fewer than 15 units registered, WGI reserves the right for a "Finals Only" contest.
- At WGI World Championships, classes with less than twenty (20) units, preliminary appearance times will be determined by postmark. Classes with twenty-one (21) or more units will use "tournament style" rounds and will be seeded based on input from adjudicators and the Percussion Coordinator. Order of appearance in a round will then be determined by postmark date. If there are more than forty (40) entries in any class by January 1, 2008, a semi-finals contest will be held with units equally seeded.
- The number of finalists at all Regionals shall be determined by the formula of 100% of World units, 75% of Open units and 50% of all A units. The maximum number of any finalists in any class will never exceed the maximum number at World Championships finals of twelve (12). If the PSW/PIW entries at World Championships reach 20, the number of finalists will be increased to fifteen (15).
- At all Regional and World Championship Finals, performance will be in reverse order of prelim finish position. Ensembles promoted at WGI Regionals will perform in the middle of the finals order.
2008 WGI Sport of the Arts Regional Guidelines
- UNIT INFO/SPIEL SHEET: Please be sure to fill out your unit's show information under the manage units section of the Directors Only webpage. If you do not fill out this information prior to the regional then only your unit name, city and state will be announced. Please double check your marching members number at this time as these numbers will be utilized at check in to ensure correct declaration of marching members.
- UNIT CHECK-IN: Be prepared to declare the number of marching members. Penalties will be assigned for false declarations. Marching members and seven (7) staff will be admitted at no charge. Units must check-in one hour prior to performance time. Please be sure to visit the secure Director's Only website to fill in your 2007 Show Information PRIOR to the regional.
- DRESSING FACILITIES: Available on site. Please vacate these facilities ASAP after performance. Please do not leave valuable personal items in the locker rooms. WGI nor the contest sponsors are not responsible for lost items.
- FOOTWEAR AND EQUIPMENT PROTECTION: Any props used must be protected so as not to damage the floor. Soft-soled shoes need no added protection. Hard-soled shoes must be taped. All percussion equipment must be on wheels. Please do not drag timpani pedals across the floor.
- INSPECTION: Located in warm up area.
- TABULATING AND JUDGING AREA: These areas are off limits to everyone except authorized personnel. Pick up judges tapes and score sheets at the announcer's table shortly after your unit competes.
- FLOOR SIZE: Competitive area will be 60' X 90'. Units are permitted to utilize the entire "competition area" for their performance. Units may not use "floors" or tarps larger than sixty by ninety (60' X 90') feet.
- CASSETTE TAPES FOR JUDGES: Provided by the sponsor.
- EQUIPMENT/PROPS: All equipment and props must be removed from the building immediately following your performance.
- PRELIM SCORES: Posted in the main lobby of the Arena.
- SCORE SHEETS AND JUDGES TAPES: Pick up shortly after prelims at the announcer's table.
- RECAPS AND FINALS INFO: Pick up 20 minutes after conclusion of prelims at announcer's table.
- FINALE: Captain's only retreat. Report to performer's entrance door after conclusion of Finals.
- AWARDS: Top three in each WGI percussion classes.
- PLEASE NOTE: WGI has adopted and will enforce a NO SMOKING policy at all WGI Regionals, including practice facilities.
New Copyright Information for 2008
Those units competing in WGI World Championships must provide the required music licensing information. Any unit failing to provide required copyright information WILL NOT be allowed to compete and entry fees will be forfeited.
Submit your Music Licensing Information online before December 1st. To do this - log into the directors only area of the WGI website and under the manage units section, complete the Music Licensing Information area for the current season.
Any unit using music on the "Additional Requirements List" will have specific requirements in order to use that music to compete at WGI World Championships. Units using music on this list that do not meet these requirements WILL NOT be permitted to participate at the WGI World Championships, and entry fees will be forfeited. Percussion ensembles competing only in WGI regionals and not World Championships DO NOT have to submit any copyright information to the WGI office.
